Refund & Cancellation Policy

At Erasmus Fun, we understand that plans can change. This policy explains how cancellations, refunds, and trip changes are handled in a simple and transparent way.

Cancellation by the Traveler

If you decide to cancel your booking, the following conditions apply:


Time Before Departure

Refund

More than 30 days

Full refund excluding online payment fees.

Between 30 and 15 days

50% refund, excluding payment processing fees.

Less than 15 days

No refund

Please note that cancellation fees are calculated based on the total price of the trip, regardless of the amount already paid.

Deposits

The booking deposit is used to secure your place and cover initial operational costs.

For cancellations made more than 30 days before departure, the deposit is generally non-refundable.

Travel Insurance

If travel insurance has been purchased and you are unable to travel due to circumstances covered by the insurance provider, your claim must be submitted directly to the insurance company according to their terms and conditions.

Insurance fees are non-refundable.

No-Show Policy

Participants who do not attend the trip, arrive late, miss departures, or fail to meet travel requirements (passport, visa, boarding documents, etc.) are not entitled to a refund.

Cancellation Requests

All cancellation requests must be submitted in writing via email to:

booking@erasmus.fun

The cancellation date will be considered the date on which the email is received.

Changes Requested by Erasmus Fun

In rare situations, Erasmus Fun may need to modify, postpone, or cancel a trip due to:

  • Force majeure events

  • Safety concerns

  • Government restrictions

  • Insufficient number of participants

  • Circumstances beyond our reasonable control

The minimum number of participants required for a trip to operate is generally 8 travelers.

If Erasmus Fun cancels a trip before departure, participants may choose:

  • A full refund of the amount paid, or

  • A transfer to another available departure date

Refunds will never exceed the amount originally paid by the participant.

Changes to Itineraries

Travel itineraries may occasionally change due to factors outside our control, including:

  • Weather conditions

  • Transport delays

  • Operational requirements

  • Local regulations

  • Accommodation changes

These modifications do not automatically entitle participants to a refund.

Flights and Personal Travel Arrangements

Erasmus Fun is not responsible for:

  • Flights booked independently

  • Train or bus tickets purchased separately

  • Accommodation booked outside the trip package

  • Additional travel expenses caused by airline delays or cancellations

We strongly recommend purchasing comprehensive travel insurance.

Refund Processing

Approved refunds will be processed using the original payment method whenever possible.

Processing times may vary depending on the payment provider and banking institution.
