These Travel Terms & Participation Conditions govern participation in all trips, events, activities, and experiences organized by Erasmus Fun. By booking or participating in any Erasmus Fun trip, you agree to these terms.

1. Introduction

These Travel Terms & Participation Conditions govern participation in all trips, events, activities, experiences and services promoted under the Erasmus Fun brand.

Erasmus Fun is a brand operated by Tripico Community Travel Association, a non-profit association dedicated to promoting cultural exchange, international mobility, community travel and educational experiences for young people and international students.

By booking, paying for or participating in any Erasmus Fun trip, participants acknowledge that they have read, understood and accepted these Terms & Conditions.

2. Membership in Tripico Community Travel Association

As Erasmus Fun operates as a community-based travel project under Tripico Community Travel Association, all participants automatically become members of the Association under the category of Traveler Member (“Sócio Traveler”) for the duration of their participation.

A membership contribution of €1 per trip is included in the advertised trip price and does not require any additional payment.

By completing a booking, participants voluntarily request and accept their inclusion as Traveler Members of the Association for the purpose of participating in Erasmus Fun activities.

Membership grants access solely to participation in the Association’s travel and community activities and does not create any employment, partnership, ownership or voting rights unless otherwise provided by the Association’s statutes.

3. Eligibility

Unless otherwise stated, Erasmus Fun trips are intended exclusively for participants aged 18 years or older.

Erasmus Fun reserves the right to request proof of age or identity at any time.

Participants must provide accurate information during registration and booking.

4. Booking and Acceptance

A booking is considered confirmed once the required payment has been successfully received.

Erasmus Fun reserves the right to refuse any booking without obligation to provide a justification where reasonably necessary for operational, safety or legal reasons.

Participants making a reservation on behalf of others confirm that they have informed all travelers of these Terms and have authority to accept them on their behalf.

5. Participant Responsibilities

Participants are solely responsible for:

  • Holding valid travel documents;

  • Ensuring passport validity;

  • Obtaining visas where required;

  • Complying with immigration requirements;

  • Meeting airline requirements;

  • Following local laws and regulations.

Erasmus Fun shall not be responsible for denied boarding, refused entry, deportation, visa refusals or any losses arising from insufficient documentation.

6. Health and Fitness

Participants confirm that they are physically and mentally capable of participating in the trip and related activities.

Participants must inform Erasmus Fun of any relevant medical conditions, allergies or special requirements before departure.

Erasmus Fun reserves the right to restrict participation in specific activities where health or safety concerns exist.

7. Assumption of Risk

Participants acknowledge that travel and adventure activities involve inherent risks.

Such activities may include:

  • Surfing;

  • Hiking;

  • Boat trips;

  • Water activities;

  • Desert excursions;

  • Adventure sports;

  • Mountain activities;

  • Outdoor activities.

Participants voluntarily accept all associated risks and agree to participate at their own responsibility.

8. Travel Insurance

Travel insurance is strongly recommended.

Any insurance included within a trip package is subject to the terms and limitations of the respective insurer.

Participants remain responsible for reviewing insurance coverage and determining whether additional coverage is required.

9. Medical Emergencies

In case of illness, injury or emergency, Erasmus Fun may arrange medical assistance where reasonably necessary.

All costs relating to medical treatment, hospitalization, medication, evacuation or transportation shall remain the responsibility of the participant.

10. Code of Conduct

Participants are expected to behave respectfully towards:

  • Fellow travelers;

  • Staff members;

  • Local guides;

  • Accommodation providers;

  • Drivers;

  • Local communities.

The following behaviours may result in immediate removal from the trip without refund:

  • Violence;

  • Threats;

  • Harassment;

  • Discrimination;

  • Dangerous behaviour;

  • Excessive intoxication;

  • Possession or use of illegal drugs;

  • Property damage;

  • Repeated disruption of the group;

  • Illegal conduct.

11. Alcohol and Drug Policy

Illegal drugs are strictly prohibited on all Erasmus Fun trips.

Participants remain fully responsible for their actions while consuming alcohol.

Any participant whose behaviour compromises the safety or wellbeing of the group may be removed from the trip without refund.

12. Removal from a Trip

Erasmus Fun reserves the right to remove any participant whose behaviour:

  • Endangers themselves or others;

  • Creates disruption;

  • Violates local laws;

  • Damages property;

  • Harms the reputation of Erasmus Fun or Tripico Community Travel Association.

Any resulting costs shall be borne entirely by the participant.

No refund shall be provided.

13. Changes to Trips and Itineraries

All itineraries, schedules and programmes are indicative.

Erasmus Fun reserves the right to modify:

  • Activities;

  • Accommodation;

  • Transportation;

  • Guides;

  • Meeting points;

  • Timetables;

  • Destinations;

  • Order of activities.

Such changes may occur due to operational, weather, safety, supplier or force majeure reasons.

These modifications shall not entitle participants to compensation or refund.

14. Minimum Number of Participants

Certain trips require a minimum number of participants to operate.

Erasmus Fun reserves the right to cancel, postpone or merge departures if the required minimum number is not reached.

In such cases participants may be offered:

  • Transfer to another departure;

  • Travel credit;

  • Refund of payments made to Erasmus Fun.

Erasmus Fun shall not be responsible for independently booked flights, accommodation, visas, insurance or other travel expenses.

15. Independent Suppliers

Accommodation providers, transportation companies, activity operators, surf schools, guides and other suppliers are independent contractors.

Erasmus Fun acts as organizer and coordinator but shall not be liable for acts, omissions, delays, negligence or failures of third-party suppliers.

16. Flights and Transport

Participants are responsible for arranging and managing their own flights unless explicitly included in the trip package.

Erasmus Fun shall not be responsible for:

  • Flight delays;

  • Flight cancellations;

  • Missed connections;

  • Airline schedule changes;

  • Ferry delays;

  • Public transport disruptions.

17. Personal Belongings

Participants are responsible for their own belongings at all times.

Erasmus Fun accepts no liability for:

  • Lost luggage;

  • Theft;

  • Damage to personal property;

  • Forgotten belongings;

  • Loss of valuables.

18. Damage Caused by Participants

Participants shall be responsible for any damage caused to:

  • Hotels;

  • Apartments;

  • Vehicles;

  • Equipment;

  • Property belonging to suppliers;

  • Property belonging to other participants.

Erasmus Fun reserves the right to recover associated costs from the responsible participant.

19. Activities Outside the Official Programme

Any activity undertaken outside the official Erasmus Fun programme is entirely at the participant’s own risk and responsibility.

20. Community Platforms

WhatsApp groups, Telegram groups, Discord servers and other communication channels are provided for community and operational purposes.

Erasmus Fun is not responsible for content, opinions or interactions generated by participants.

Participants who violate community standards may be removed from these platforms.

21. Photography and Media Consent

Photos and videos may be taken during trips by Erasmus Fun staff, photographers, guides or participants.

By participating, travelers grant Erasmus Fun and Tripico Community Travel Association permission to use such content for:

  • Website content;

  • Social media;

  • Marketing campaigns;

  • Promotional materials;

  • Future trip promotion.

Participants who do not wish to appear in promotional content must notify Erasmus Fun in writing before departure.

22. Force Majeure

Erasmus Fun shall not be liable for delays, cancellations, interruptions or modifications resulting from circumstances beyond its reasonable control, including:

  • Natural disasters;

  • Extreme weather;

  • Pandemics;

  • Government restrictions;

  • Border closures;

  • Political unrest;

  • Strikes;

  • Transportation disruptions;

  • Acts of terrorism;

  • Armed conflict.

23. Limitation of Liability

To the maximum extent permitted by law, Erasmus Fun and Tripico Community Travel Association shall not be liable for:

  • Personal injury;

  • Illness;

  • Death;

  • Emotional distress;

  • Loss of enjoyment;

  • Loss of income;

  • Missed opportunities;

  • Consequential damages;

  • Indirect damages;

  • Third-party actions.

Any liability shall be limited to the amount paid by the participant for the trip.

24. Refunds and Cancellations

Refunds and cancellations are governed by the Erasmus Fun Refund & Cancellation Policy available on the website.

Participants agree to that policy at the time of booking.

25. Acceptance of Electronic Agreement

By making a booking, completing a registration form, joining a trip, or making any payment to Erasmus Fun, participants confirm their acceptance of these Terms.

Electronic acceptance shall have the same legal effect as a handwritten signature.

26. Severability

If any provision of these Terms is deemed invalid or unenforceable, the remaining provisions shall remain in full force and effect.

27. Governing Law

These Terms shall be governed and interpreted in accordance with the laws of Portugal.

Any dispute arising from participation in Erasmus Fun activities shall be subject to the jurisdiction of the competent Portuguese courts, without prejudice to any mandatory consumer protection rights under applicable European Union legislation.
